Send a ground-leg brief, not just a flight number
Specify origin and destination, flight or discharge window, mobility and clinical support requested, airport terminal if known, receiving contact, companions and luggage. Identify the insurer or assistance case manager authorised to approve changes and costs. A flight number alone cannot establish vehicle or staffing suitability.
Make the scope explicit
State whether the requested service begins at a hospital entrance, public arrivals or another authorised point, and where it ends. Requests for bedside, aircraft-side or airside access require permission from the responsible institution; they should not be assumed in a quote. Confirm who handles airline medical clearance and hospital acceptance.
Agree the handover protocol
Record a contact for the sending team, flight escort if present, China ground provider and receiving team. Decide how arrival changes will be transmitted and what evidence is needed to confirm completion. If the receiving provider has not accepted the patient, this must remain an open dependency.
Get a case-specific quotation
Vehicle, staffing, oxygen, time on site, distance, airport procedures and changes to the itinerary can alter scope and price. Request a written line item and payment terms before dispatch. The China-side provider should confirm what it can actually deliver on the date and route.
